Regular Paper/ Proposal Submission

All submissions to IEEE PES ISGT-Asia 2022 Conference must be completed by 11:59 PM SGT (UTC+8) on the day of the corresponding deadline. Submitted papers must not substantially overlap with papers that have been published or accepted for publication, or that are simultaneously in submission to a journal, conference, or workshop with published proceedings. All authors will receive their submission outcome via email, or alternatively, visit the submission portal to monitor the progress status.

Creating an Author Account

Step 1: To begin, START V2 Conference Manager. You will be directed to the submission site.

Step 2: As new user, author must create a new account. Once completed, user will received an email to the nominated email address from noreply@softconf.com stating that the registration is successful. Please check your ‘junk/spam folders’ if not received. For existing users who have previously created an account with START V2 can reuse their credentials to log-in or click on “forget your password” to retrieve them.

Step 3: Go back to START V2 Conference Manager and log-in using your newly created account credentials. Please update your profile by selecting “Update Profile -> … update your global user information”, prior to submitting your paper/proposal. Do note that your biography will be displayed in the Conference program if selected for presentation, thus please include relevant details you wish to be included.

Step 4: Click on the ‘Make a new Submission’ button to begin submitting your documents. Please select the corresponding Submission Type and Conference Tracks. For Regular Paper” submission, do select one track (i.e., Track 1, …, Track 6).

Step 5: Complete the submission by clicking on the “Submit” button. Authors will receive a confirmation email from the Organizers, ISGT-Asia 2022, listing all the details of your submission. Authors can revisit and revise your submission by clicking on “Your current Submission(s)” anytime before the submission deadline. We strongly encourage you to revisit your submission and try downloading your PDF file to see if everything is in order.

Rules & Guidelines
    1. Full registering authors may submit up to a maximum of two full papers as the presenting author.
    2. Student registering authors may submit up to a maximum of one full paper as the presenting author.
    3. Please use the approved template when writing your manuscripts for Regular Paper submission or proposals for the Tutorial and Special sessions. Do have your documents saved in PDF format for submission.
    4. Presenters must disclose any potential conflict of interest.
    5. You must receive the approval of all co-authors before including their names in your manuscript(s). You are required to provide your co-authors information upon registering for an account and update emails will be automatically sent out to all recipients detailing your activities.
    6. All Submissions will be reviewed after 15th June 2022 (Regular Paper). Presenters are not permitted to modify their submissions after this date.
    7. You may withdraw your submission at any time without notifying IEEE PES ISGT-Asia 2021 until 15th June 2022 (Regular Paper) using the submission portal. Submissions withdrawn after these dates must be withdrawn using the ‘Contact Conference Manager’ function via the submission portal. Requests not submitted via the portal will not be considered.

    1. How do I know if my submission was successfully received? If there are any incomplete steps, you will not be able to submit your submission. Please complete all required fields marked with red asterisk before submitting. You will be able to view a proof of your paper when you click on the Submit button. You will also receive a confirmation email from the system following successful submission of your paper.
    2. Is there a word limit imposed on full paper title? Yes, abstract title must not exceed 20 words.
    3. Is there a page limit imposed on regular paper submission? Yes, the page limit is 5.
    4. Is there a page limit imposed on special and tutorial session proposal submission? Yes, the page limit is 5.
    5. Is there a word limit imposed on Abstract text? Yes, abstract text must not exceed 150 words. The word count does not include the title, authors’ names or their affiliations which are entered in separate fields when submitting.
    6. Can I upload my manuscripts or proposals using other formats apart from PDF into submission portal? No, START V2 (submission portal) only accepts 1 file that has MIME extent associated to PDF.
    7. Can I change my selected tracks after I complete my submission? Yes, you may return to your submission at any time prior to the submission deadline. Be sure to save your changes and resubmit.
    8. If I forget to add an author can I do so after the submission deadline? Yes, you can still add an author if necessary, by emailing sec.singapore@ieee.org. However, please make every attempt to add all authors during the submission.
    9. How do I retrieve my submission outcome results? Based on the given decision notification dates, you can log-in to START V2 (same website when you make your submission) to see the status outcome “accept”, “revision”, and “rejected”. More details will be shared to authors when nearing to the decision dates.

Our Conference theme is ‘Resilient renewable energies and grid transformations’ and will provide a vibrant platform for knowledge sharing among the stakeholders of the electricity industry to address challenges and opportunities in renewable energy and the need of future grid transformation to provide a sustainable and resilient pathway for better management of impacts of climate change.

PRESENTATION TYPES

At the time of submission, you will be asked to select your preferred presentation type. Not all requests can be accommodated, and the final presentation type will be selected by the Technical Program Committee.

The IEEE PES ISGT-Asia 2021 will include presentation types as follows:

Oral Presentation:

The number of Oral Presentations able to be accommodated in the program is limited and presentations will be selected by the Technical Program Committee. The duration for oral presentation will be advised to the presenters at the time of selection.

Poster Presentation:

The Poster Presentations will be displayed on a poster board without any audio-visual equipment. Poster presentations will be allocated to specific sessions to be advised at the time of selection.

CREATING AN AUTHOR ACCOUNT

Step 1: Click the ‘Portal login’ button on the website.

Step 2: You will be directed to the submission site to create an author account. Once an account is created, please verify the account by clicking on the link provided via the account verification email sent to your nominated email address. Please check your ‘junk folder’ if not received.

Step 3: Log in to your after it has been verified using your email address as username, and your nominated password. Please complete your user profile by selecting ‘Edit My Profile’ prior to submitting your abstract. Do note that your photo and biography will be displayed in the Conference program if selected for presentation, thus please include relevant details you wish to be included.

Step 4: Click on the ‘Submit Full Paper’ or ‘Submit Abstract’ button to begin submitting your submission.

PREPARING YOUR FULL PAPER SUBMISSION

All full papers must be submitted online via the online submission portal.

Important Submission Elements

  1. Subject Area: All full papers must be submitted under one of the subject areas listed above.
  2. Full Paper Title: Type the title of your full paper in the ‘Full Paper Title’ field. Full paper titles are limited to 20 words or less.
  3. Full Paper Text: Utilise the full paper template to complete your full paper with maximum 5 pages. Once completed, upload your completed paper as a file in PDF format
  4. Complete all other fields, noting those labelled with a (*) symbol must be filled.
  5. Presenter Biography: A short biography up to 100 words and photo of the presenter should be provided and will be displayed on the Conference mobile app and website if selected for presentation.

  3. Abstract Text: Type the body of your abstract in the ‘Abstract Body’ field. All abstracts should be 500 words or less. Do not include your title or authors in the abstract text — these items will be collected separately. Do not include Tables or Figures. Do not include references.
  4. Co-authors: Each co-author should be added separately to the submission to ensure proper listing. Enter title, first (given) name, last (family/surname) name, email address, institution/affiliation and country for each author. Please do not list the department/branch in the institution/affiliation field. One person must be identified as the presenting author. IEEE PES ISGT-Asia 2021 will only correspond with the presenting author so please ensure all contact details are correct. The order of the authors may be modified at any time prior to the submission deadline of 31 July 2021 (full paper) and 22 August 2021 (abstract).
  5. Presenter Biography: A short biography up to 100 words and photo of the presenter should be provided and will be displayed in the Conference program and website if selected for presentation.
  6. Complete all other fields, noting those labelled with a (*) symbol must be filled.
  7. There are no specific requirements regarding structure of the abstract.

PRESENTER AGREEMENT

All presenters must agree to the following conditions when submitting an abstract/full paper:

  1. Affirm that the full paper has not been or will be published (in print or electronically) or presented elsewhere prior to the IEEE PES ISGT-Asia 2021 Conference.
  2. Abstracts will be made available in the Conference program to Conference participants only. Full papers will be published in IEEE Xplore.
  3. The correctness of the abstracts and full papers is the responsibility of the authors. The Conference Managers will not edit the article although the submissions will go through a review process for paper selection purposes.
  4. As a commitment to attend and support the Conference, the presenters of the accepted papers/abstracts are expected to register and pay either for the full Conference Program or the day of their presentation, before Thursday 30 September 2021 (a reminder will be sent to authors). Failure to register by this date may result in submitted papers/abstracts being removed from the program.
  5. The preparation and supply of any handouts or other materials used in any presentation will be the responsibility of the presenter(s).
  6. All costs to attend the Conference including registration, travel and accommodation are to be met by the presenters.

The Conference Organising and Technical Program Committees recognise the time and effort it takes for authors to prepare papers, however, we encourage your early submission of your intention to present a paper at IEEE PES IGST-Asia 2021. This will provide the Technical Program Committee with the ability to determine a preliminary program and promote it to our intended delegates.  The Conference Organising and Technical Program Committees are looking forward to presenting a technically strong program for the IEEE PES IGST-Asia 2021 and welcomes you, the contributor, to assist in achieving this aim

While every attempt will be made to meet your preference, the number of abstracts that can be selected for oral presentation is limited.   12. Is there a limit on the number of co-authors that I can add to my short abstract? No
  13. If I make a mistake during the submission process, do I need to start a new submission? You can make changes to your abstract submission at any time prior to the deadline of 31 July 2021 (full paper) and 22 August 2021 (abstract) by logging into your eOrganiser Account and selecting the Edit button.
